Explore triggered automations for contacts, companies, and staff across Unificus.
Understanding Automations
Throughout Unificus, you can configure triggered Automations that apply to Contacts, Companies, or Staff members. Different areas of the platform offer different automation options based on functionality.
CRM Target Automations
Each automation you set up has unique requirements. The Automations Pane in each section displays the specific trigger conditions for that set of automations.

Send Email to Target
This automation delivers an email directly to the automation’s recipient.
Specify a sender name and subject line, then build your message body using the WYSIWYG editor.
You can send a test email to verify the layout, formatting, and appearance before activating the automation.
Email External(s)
This automation delivers messages to selected Contacts or Circles within the platform. Choose multiple recipients from the respective dropdown menus.
Add a sender name and subject line, then compose your message using the WYSIWYG editor.
Send a test email to preview the final output before going live.
Important: This automation cannot target the assigned user. Use the Send Email to Assigned Target(s) automation for that purpose.
Email Internal(s)
This automation sends messages to Staff Members or Teams in the platform. Select multiple staff members and teams from the available dropdowns.
Choose from your Users or Teams using the selection boxes. You can also toggle options to send to the Target’s Coordinator and/or Salesperson.
Enter a subject line and compose your message in the WYSIWYG editor.
Send a test email to check the design and content before activating.
Send Email Notification
This automation delivers an email to your chosen recipient. It’s exclusive to Forms and works with Contacts, Staff Members, or external email addresses.
Add a sender name and subject line, then build your message body using the WYSIWYG editor.
To email the person completing the form, use the To field with the appropriate role selection.
Convert to Client
This automation changes a Prospect’s status to Client. It won’t trigger if the Contact is already a Client.
Optionally, send the prospect a notification about the account change.
Add to Audience(s) / Remove from Audience(s)
These automations add or remove users from Email Marketing Audiences, respectively. Select multiple audiences from the dropdown.

Add to Circle(s) / Remove from Circle(s)
These automations add or remove users from Circles, respectively. Choose multiple circles from the dropdown menu.
When removing users, you can toggle an option to remove them from all Circles at once—this hides the dropdown when active.
Manage On-Demand FLOW
This automation assigns On-Demand FLOWs to users.
You can assign multiple On-Demand FLOWs.
Apply Follow-up Generator(s)
This automation triggers Follow-up Generators to create follow-ups for users. Select multiple generators from the dropdown.

On-Demand Invoice Generator
This automation creates an Invoice using a selected generator. Only one generator can be assigned per automation.
If your generator includes Dynamic Items, they’ll appear below. Click any item to access additional configuration options.
Set Quantity, Rate, and Discount Value as either fixed numbers or Custom Fields.
When using Custom Fields, a dropdown appears to select the field.
Hide Item if Value is 0: When enabled, the dynamic item won’t display on the invoice if its value equals zero.
Use Calculations: When enabled, you can calculate values using Custom Fields.
Dynamic Items are only available on the Pinnacle Plan level

Apply Project Generator
This automation creates a Project using a selected generator. Only one generator can be assigned per automation.

Apply Task Template
This automation applies a Task Template to create tasks.
Task Template: Choose your template from the dropdown.
Based on Date: Set the reference date for calculating relative due dates. For example, if a task has a relative due date of two days and you set the base date to two days ago, the task becomes due today. Setting the base date to today means the task is due in two days.
Apply to: Choose whether to apply the template to the Contact’s most recent Project or search for a specific project by title.
Important: When searching by project title, use the first few letters of the opening word. If multiple projects share the same starting letters, the system selects the most recent one. For projects like “Web Development Build,” search only for “WEB”—searching “Development” or “Build” won’t find it.
Project Status: Select the project status that should apply after the template is used. Custom project statuses appear in this dropdown if available.
Change Project Status
This automation updates a Project’s Status automatically.
Change the most recent Project’s status or select a specific project by title.
Customize your Project Statuses in Content Settings.
Apply Folder Generator
This automation generates a predefined folder structure for users. Only one generator can be assigned per automation.
Set Coordinator
This automation assigns a Coordinator to users. Any existing Coordinator is replaced.
Set Salesperson
This automation assigns a Salesperson to Contacts or Companies. Any existing Salesperson is replaced.
Important: Changing a Target’s Salesperson may trigger automated effects based on your Exclusive Mode or Shared Mode settings for Salesperson Visibility.

Add/Remove Tags
This automation adds and/or removes Tags from targets. You can also use it to clear all existing Tags from a target.
Send File Request
This automation delivers a File Request to the target.
Click the selection box to choose and apply a File Request.
Dynamic Proposal Generator
This automation sends a Proposal Generator to the CRM target.
Click the selection box to pick one of your pre-built Proposal Generators.

Generate Document
This automation creates a Document using a selected generator.
A document title is required. Select which data sources should populate any placeholders in your template.
Choose a Document Generator from the dropdown.
Important: You can modify the Document Generator selection and customize the title with new text and placeholders.

Convert to Invoice
This automation is exclusive to Proposals and converts a Proposal into an Invoice, automatically assigning it to the target.
Invoice Title: Name your new invoice. Use the Placeholder icon to access relevant placeholders.
Relative Due Date: Specify how many days after creation the payment is due.
Available Gateway(s): A payment gateway is required for online payments.
Send the Client an email notification: Email the client when the invoice is created.
Redirect the Client: Automatically direct the client to the invoice after proposal signature.
Use a third-party link to payment: Set a custom third-party payment link. Note: Payment tracking isn’t available—record manually.
Set Custom Field Value
This automation updates Custom Field values for assigned Contacts or Companies.
Select a Custom Field and enter the new value. Add multiple fields by clicking + Add Custom Field.
When applied to Project Tasks or Phases, you can also select Project Custom Fields.
You can set values for the Contact’s Salesperson and/or Coordinator custom fields.
Tip: For Number-type Custom Fields, use basic math in this format: [[current_value]] + xx or [[current_value]] - xx. Example: [[current_value]] + 100
Estimates & Invoices: In automation settings for Estimates and Invoices, you can include placeholders referencing approved estimate totals or invoice payments. Use [[inv_payment]] or [[est_total]].
Example: If salespeople earn 25% commission on invoice payments, configure:
The Salesperson’s Commission field updates when invoices are paid.
Important: Updating the same Custom Field for Salesperson and Coordinator allows different values, but if they’re the same person, the last value overrides the first.
Important: File Upload Custom Fields can’t be used with this automation.
Custom Field Math Operations
Perform simple math in Number-type Custom Fields using [[current_value]] as your base.
Example: To add 100 to “Number of Apples,” enter: [[current_value]] + 100
Build reward systems, gamification, or points programs that automatically adjust when triggers activate.
Custom Field Date Operations
For Date-type Custom Fields, add a Specific Date, the Current Date, or enable Date Calculations.
Specific Date: Use the date field to set your desired date.
Current Date: Toggle to use the automation trigger date.
Enable Date Calculations: Perform math operations on date values.
Use [[current_value]] and add days, months, or years.
Example: Track membership renewals by adding one month: [[current_value]] + 1m
Supported formats: [[current_value]] + 1d (days), [[current_value]] + 1w (weeks), [[current_value]] + 1m (months), [[current_value]] + 1y (years), or [[current_date]] + 1d
Send Portal Access Invitation Email
This automation invites Contacts to register for the Portal. It only works for Contacts with “Not Invited” status.

Cancel Remaining Follow-ups
This automation cancels pending Follow-ups from an active Follow-up Generator assigned to the target.
Select the Follow-up Generator from the dropdown.

Move Deal to Stage
This automation advances a Deal to a specified Stage.
Choose the Pipeline and Stage using the dropdown. Optionally change the Deal Category.
This action applies to all Deals in that Pipeline for the target user.
Create a New Deal
This automation creates a Deal.
Name the deal and optionally add details. Select a Deal Category. Set an expected close date using days, weeks, months, or years (e.g., “12 weeks”).
Enter the deal value and currency, then select a Pipeline. Once chosen, specific Pipeline Stages appear. Hover to see stage names and click your starting stage.
Assign individual Followers or select all staff. Toggle whether followers receive notifications about the new deal.
Recurring Invoice Generator
This automation assigns a Dynamic Recurring Invoice Generator to users.

Accumulating Invoice Generator
This automation assigns a Dynamic Accumulating Invoice Generator to users.

Deal Generator
This automation creates a Deal Card for the target, visible in CRM > Deals under your selected Pipeline.
Grant LMS Product / Remove LMS Product
These automations add or remove LMS Product ownership from users. Select multiple products from the dropdown.
Webhook Notification
This automation sends a webhook to your endpoint—an HTTPS POST message indicating a specific event occurred. Enter your Destination URL and assign an Event string as an identifier.
Click the PLUS symbol to add multiple webhook notifications.
Add to Checklists / Remove from Checklist
These automations add or remove Checklists from users. Select multiple checklists from the dropdown.
Adding a checklist creates a standalone instance in the user’s Portal. An email notification with a login link is sent.
Add to Community/Space or Remove from Community/Space
These automations add or remove users from Communities or Spaces. Select multiple options from the dropdown.
Adding a target to a Community automatically grants access to all Public Spaces. Use the selector to choose which Private Spaces they access.
When removing, optionally remove from all Private Spaces or all Public & Private Spaces.

Manage Subscriptions
Cancel an existing Subscription or replace it with a new Subscription Plan.
Important: New Subscriptions default to the target’s most recent successful payment method since automations run in the background without user input. Payment gateway setup (Stripe, Stripe ACH, Authorize.net, or Braintree) is required.

Trigger Auto-Template
Apply a pre-built template instead of selecting automations individually.
Wherever you see ‘Configure Automations,’ you’ll find ‘Trigger Auto-Template’.
Click the selection box to access your available Auto-templates.
On-Demand Estimate Generator
This automation creates an Estimate for the CRM target.
Click the selection box to access your pre-built On-Demand Estimate Generators.
Add to WORLDs / Remove from WORLDs
These automations add or remove targets from WORLDs. Select multiple options from the dropdown.
Adding a WORLD restricts visibility to staff within that WORLD only. Other staff won’t see associated Projects, Deals, or Documents.
Use the remove automation to unassign one or multiple WORLDs. Toggle to remove from all WORLDs at once.
Important: This automation requires a WORLDs Power-up subscription.

Create Note
This automation adds a Note to a target’s Notes tab in their CRM Dashboard.
Use the Placeholder icon to personalize the note title and content.
Staff Target Automations
Send Email to Target
This automation emails the staff member target.
Add a subject line and compose your message in the WYSIWYG editor.
Send a test email to confirm the layout and appearance before activating.

This automation sends an SMS to the staff member target.
Set Custom Field Value
This automation updates Custom Field values for assigned staff members.
Choose a Custom Field and enter the new value. Add multiple fields with the + Add Custom Field button.
For Number-type Custom Fields, use math formatting: [[current_value]] + xx or [[current_value]] - xx (e.g., [[current_value]] + 100).
Add to Team(s)
This automation adds staff members to Teams.
Click the selection box to view all pre-created Teams.
Select multiple teams as needed.
Remove from Team(s)
This automation removes staff members from Teams.
Specify which teams to remove the staff member from using the selection box.
Manage On-Demand FLOWs
This automation assigns On-Demand FLOWs to staff members.
Add to Schedule(s) or Remove from Schedule(s)
These automations add or remove staff from Schedules. Select multiple schedules from the dropdown.
Apply Folder Generator

This automation sends a Form to a staff member. Form Cannons require the PLUS Bundle Power-Up.
