Learn to create, configure, and manage proposals and proposal generators in Unificus.

What is a Proposal?

A Proposal is a document that outlines all project steps to match your Contact’s requirements. Your Contact can then Approve it by signing or Reject it.

You can also build Proposal Generators—reusable templates not assigned to specific people. Instead, you configure them once and trigger them through Automations, which automatically generate individual Proposals for each Automation target.

How do I create a Proposal?

Go to Office > Proposals and select +Add Proposal.

You’ll choose between Direct (for manually assigning to a Contact) or Generator (for triggering via Automation).

Direct Proposal

Fill in the required fields:

  • Assign Proposal to: Pick one or more Contacts or Circles from the dropdown. A separate Proposal generates for each Contact.
  • Proposal Title / Reference Name: The name your Contact sees at the top.
  • Valid Until: The expiration date after which the Proposal can’t be accepted.
  • Select Proposal Value Source: Choose Static Value (set a fixed amount) or Proposal Options Block Value (let Contacts select items or packages).
  • Value: The monetary amount for converting to an Invoice or Estimate.
  • Currency: The currency type.

Proposal Generator

Creating a Generator mirrors a Direct Proposal with two key differences:

  • You don’t assign a Contact or Circle—the Automation does that.
  • For Valid Until, pick a relative timeframe (e.g., “1 Week”). The countdown starts when the Proposal is generated, not when you create the Generator.

Creating the Pages

The Accept & Sign and Thank You pages are included by default. Any text you’ve set in Settings auto-populates.

Click Add a Blank Page for a new page, or add from Page Templates to use a saved template.

Use the Content Block Editor to add content. This is the same tool as Dashboards and Portal Pages, plus an extra Proposal Choice Block option.

To insert Dynamic Data Placeholders, click the {x} button in a Text Block.

Click the icon to expand or collapse a page. Use the dropdown to edit the title, delete it, or save to library.

To reorder pages, click the icon and drag into position. The Accept & Sign and Thank You pages stay locked in place.

Proposal Choice Block

The Proposal Choice Block lets you add options for Targets to select. You must switch the Proposal Value Source from Static Value to Proposal Options Block Value first. Otherwise, you’ll see a prompt.

A ‘Configure Proposal Options’ button appears. Click it to set the currency and offer type.

Items & Add-ons: Choose available Items and Add-ons from the dropdown. You can limit how many the Target selects.

Packages: Show Package options instead. You can also limit package selections.

Drag the two-line handle next to each option to reorder Items, Add-ons, or Packages as you prefer.

What will the Target see?

Targets see the Items & Add-ons or Packages you’ve added. They check the ones they want, and the total calculates automatically.

Preview Mode

Click the preview icon to view the Proposal with extra configuration tabs.

To customize colors, fonts, and logos, click the customization icon.

A customization panel appears with real-time edits.

How do I Style Text?

Click the text/heading icon in the Text Block to change the type.

Go to the sidebar, click the Text Icon, and pick your Font details.

Choose from Google Fonts and adjust size, color, weight, and letter spacing.

Note: Font styling is hidden while editing—check it in Preview mode.

Notification Settings

Click the notifications icon to configure them.

A Notifications panel opens. Set preferences for when the Proposal is viewed or signed by picking Staff Members from the dropdown (or select ‘All Staff’ for everyone). You can also set two email reminders for near-expiration and internal notifications when signed or rejected.

Assigning Automations

Click the Automations icon to attach them.

A No-Code Automations panel appears. Click +Configure Automations to set up two separate flows: one for Approved Proposals and one for Rejected ones. They trigger once your Contact approves or rejects.

When configuring an Approved Proposal Automation, you can also select ‘Convert to Invoice’.

Apply a Template

Click the template icon to load a Proposal Template.

A preview and Load Template panel display. Choose a Template from the list or search for it.

You can Keep Current Pages (add new ones alongside existing) or Reset Current Pages (replace all with template pages).

For Automations, choose Not Copy (skip them), Keep (keep both template and new Automations), or Reset (replace with template Automations).

How do I assign a Proposal Generator?

You can trigger a Proposal Generator for a Contact in several ways.

CRM Options Menu

Go to CRM > Contacts, click the Options menu (3 dots) for the Contact, and select Proposal Generator.

A modal appears for your selection.

While Creating/Editing a Contact

When manually adding a Contact via CRM > Contacts > +Add Contact (or using a Kickoff Form), this option appears once you set the Role to Prospect or Client.

Pick the Proposal Generator from the dropdown.

Via Kickoff Form

Go to Forms and click +Create Form. Select Kickoff Form when prompted.

Set the Contact’s Role as Prospect or Client, then pick the Proposal Generator from the dropdown.

How can the Contact view and sign the Proposal outside of the platform?

Once finalized, click the Options menu (3 dots) and select Copy Approve Link. This copies the direct link to your clipboard so you can send it to your Contact. They won’t need to log in.

Note: If you view from this link, it shows as viewed by the Client. Use ‘Mark Unseen’ to reset it.

What does the Contact see?

Once finalized, your Contact gets an email notification. They can access it through the Notification Panel or Office > Proposals when they log in.

Like in Preview Mode, they navigate pages via the left-hand menu or bottom arrows.

They can click Proposals anytime to exit without finishing.

On the Accept & Sign page, they choose to accept and sign or reject.

If they Reject, they’ll be asked for a reason.

How can my Contact download a PDF of their Proposal?

When your Contact views the Proposal, they automatically get a View/Print PDF button below the pages. It’s available even before signing, so they can download unsigned versions if needed.

How can I reset an expired Proposal?

In Office > Proposals, click the Options menu and select Reset Proposal.

You’ll pick a new Valid Until date. The current date pre-fills, but you can use the Date Picker to select a future date.

Click Reset and Resend to resend immediately, or Edit before Sending to draft and refine first.
