CRM: Follow-up Generators
Automate contact reminders by creating pre-set follow-up sequences triggered during sales workflows.
What is a Follow-up Generator?
A Follow-up Generator is a template containing a pre-arranged sequence of follow-ups. You build it once, then activate it through Automations to instantly populate your Calendar with multiple follow-up tasks. This approach lets you design different sequences for various sales scenarios and reuse them consistently.
EXAMPLE: When engaging prospective Clients, you might configure your Calendar to send an email after 4 days, make a call after 10 days, and send another email after 15 days. You would create one Follow-up Generator containing these 3 follow-ups.
Using “Based on Generation Day,” you’d set up the first Follow-up titled “Email check-in” with a 4-day schedule—meaning this task appears exactly 4 days after the Follow-up Generator activates. Repeat this for each remaining Follow-up with your desired intervals.
Once configured, you assign this Follow-up Generator in Automations, which automatically generates all 3 follow-ups on your Calendar with the correct due dates based on each “Scheduled Days” value.
How do I create a Follow-up Generator?
Navigate to CRM > Follow-up.
Select Follow-up Generators from the top navigation and click the +Add Follow-up Generator button.
Enter a Title for your generator and select the Based-On Date option from the dropdown:
- Based on Generation Day: Follow-ups schedule starting from when the generator is applied to your target.
- Based on value of Date Custom Field: Follow-ups schedule from a date stored in a Custom Field.
- Based on a Specific Date: Follow-ups schedule from a date you manually select.
- Based on a Dynamic Date: Follow-ups schedule from a dynamic date, such as when an appointment is booked.
You’ll then access the Follow-up Generator’s details page, where you add the individual follow-ups.
Click the +Add Follow-up to Generator button (labeled with your generator’s title).
A modal appears with fields to complete.
These fields resemble standard Follow-up creation, with these key differences:

- Schedule This: Instead of picking a fixed date, specify the number of days or weeks after the generator activates.
- Schedule Time: Select a time of day and choose either the Target’s Time Zone or a static zone from the list.
- Assign Automations: Click Configure Automations to set up workflows when the Follow-up reaches “Complete” status. Both Follow-ups and Follow-up Generators support this feature.

Where can I assign Follow-up Generators?
You can apply a Follow-up Generator when manually adding a Contact/Company or via a Kickoff Form.
Manually Add Contact
Go to CRM > Contacts and click the +Add Contact button.
This option displays regardless of the chosen Role.
CRM Kickoff Form
Navigate to Forms and click the +Create Form button. When prompted, select Kickoff Form.
The dropdown appears when you assign the Role as Prospect or Client.
Appointment Generators
Go to Calendar > Appointment Generators and click the three dots next to any Appointment Generator to see available actions.
Automation/Auto-Templates
Apply the Follow-up Generator through Automation by adding it to an Auto-Template (Automations > Auto-templates)
or anywhere you see Configure Automation.
