PROJECTS: Project Settings

Configure project defaults, visibility, notifications, and work request options in Unificus.

How do I manage my Project Settings?

Access your project configuration options by selecting Projects > Settings.

Only Super Admin and Admin users can view this section. It includes visibility controls, notification preferences, and default currency selection for newly created projects.


Global Project Settings

Project Visibility Settings

View all Projects: Toggle to let Admins and/or Project Managers access every project in your Unificus instance. Disable to restrict access.

Archived Projects: Enable to give clients an “Archived Projects” tab where they can browse their inactive projects.

Project Progress: Hide the project completion pie chart from clients if preferred.

See all tasks: Allow assigned project users to view every task associated with the project.

See Project Notes: Permit clients to view project notes (public notes only).

Create Project Notes: Enable only after allowing clients to view notes. Grants them permission to write their own project notes.

TIP: Global note settings apply by default but can be customized per individual project.

Project Progress

Select how project completion calculates:

Percentage of Completed Tasks: Automatically tracks what portion of all tasks are finished.

Project Phases: Calculate by phases—choose between automatic calculation or manual entry.

Manual Slider: Drag to set progress percentage yourself.

Task Visibility Settings

By default, finished tasks are hidden everywhere in Unificus (task lists, personal tasks, project views). Toggle to display all tasks including completed ones.

If you won’t assign tasks to clients, disable both the My Tasks menu item and Tasks tab in their project view.

Clients can normally create personal tasks outside projects. Check this box to prevent that.

Kanban Settings

Clients see the Kanban View by default. Disable it here if you’d rather they only use other project views.

Task Approval Settings

Choose which staff members or teams get notified when a client approves or rejects a task.

Project Reminder Settings

Send Reminder Emails for projects from this menu. All users can customize reminder preferences individually.

Default Project Currency

Set the Currency that automatically applies when creating project-related invoices.

Project Automations

Automatically update project and task statuses based on completion. Toggle to let Teammates and/or Freelancers see Task Automations—note that this access level reveals automation details that might exceed their normal role permissions. Adjust per-project if needed.


Notification Preferences

Customize your email notifications for assigned Projects and Tasks here. Every user receives individual preference controls.

Digest and Outlook emails are automatic summaries sent daily or weekly:

Digest Emails: A recap of events that already occurred. Choose which event types to include.

Outlook Emails: A preview of upcoming project and task deadlines.

Click Update All Settings to save globally, or Update Staff/Contacts Settings to configure by role. A dialog appears to select a role from the dropdown.

By default, new settings only apply to future users. Enable Override existing settings to apply changes to all current users with that role.


Project Dashboard Settings

Personalize to Your Client: Display a welcome message and additional custom text on the client’s project dashboard.

Project Progress: Show a completion percentage pie chart on their dashboard. Configure it to auto-calculate from task completion or project phases, or set it manually with a slider.

Toggle whether to display the current project status.

Work Request Setup

General Work Request Settings

Toggle whether clients see the Work Request tab. When off, they can’t submit requests. Optionally remove the requirement to attach items—clients then only need a reference name, with description and due date optional.

Let clients select from existing Projects instead of requiring new ones.

When converting a Work Request, it stays “Open” by default until all conversions are complete. Change it to “Closed” when converted to a Project or Estimate/Invoice.

Tasks created during conversion default to “Open” status. Assign a different status if needed.

Work Request Type and Notification Settings

Choose your Work Request type:

Itemized: Clients select from a predefined list of items.

Free Form: Clients write custom requests.

Select which staff members receive email alerts when clients submit requests.

Work Request Items

Build a library of Work Request Items for clients to choose from. Deleted items don’t affect previously created requests containing them.

Click Add Work Request Item to enter a name and price, plus an optional description.

Assign Circle(s) to restrict item visibility. By default, all permissioned clients see every item. Add a circle to limit it to that circle’s members only.


Business Sectors

Create Business Sectors—custom classification categories for organizing projects. For example, a CPA firm might use sectors like Payroll, Tax Returns, and Corporate Bookkeeping.

Currently used for project organization; future Reporting Toolkit features will analyze sector performance and value.

Click +Business Sector to open a dialog where you enter a name. Optionally add a description and assign multiple projects via dropdown.
