Portal Access Invitation

Send invitations to Contacts and Staff Members to register and access your Unificus portal.

What is the Portal Access Invitation?

The Portal Access Invitation is an email delivered to users that enables them to join your Unificus platform. Each recipient gets a personalized link allowing them to create an account and establish their password.

When you add a user to your platform, they cannot access the Portal until you send them this invitation. You have the flexibility to set up their account details before sending the email.

This invitation can only be sent to users with Not Invited or Invited status. Once someone has completed their registration, resending the invitation is unnecessary. Two variations exist: one for external users (Contacts) and another for internal team members (Staff Members).

Important: Sending the Portal Access Invitation is irreversible. Ensure your Portal is fully prepared and all necessary content is available before you send it.


Inviting Contacts to Your Portal

Only Prospects and Clients can receive the Portal Access Invitation. Leads do not have Portal access capabilities.

You may send invitations while creating new Prospects or Clients, or afterward.

Adding a Contact Manually

Go to CRM > Contacts and select the +Add Contact button.

When you select Prospect or Client as the Role, an invitation option appears below.

Using Kickoff Forms

Navigate to Forms and click +Create Form. Select Kickoff Form when prompted.

After choosing Prospect or Client as the Role, a new setting becomes available in the Portal Invitation & Communication section at the bottom.

Importing via CSV

Go to CRM > Contacts.

Select the Import Contacts tab in the top menu bar.

The Portal Access Invitation setting is located in the Import Options section at the bottom.

Inviting an Existing Contact

If a Prospect or Client is already in your system but hasn’t registered yet, you can send the Portal Access Invitation. You can also resend it while they remain in Invited status.

Go to CRM > Contacts.

Click the Options menu (three dots). If the Contact hasn’t been invited yet, select Send Invite.

If they’ve already been invited, two options appear:

  • Resend Invite to send the Portal Access Invitation email again
  • Copy Invite Link to copy the invitation link and share it manually (via email, text, or other channels)

Inviting Staff Members to Your Portal

You can send invitations to Staff Members during creation or after they’re already added.

During the Adding Process

Go to Flyout Menu > Manage Staff.

Click the +Add Staff Member button.

The Portal Access Invitation Email option is at the bottom of the form.

Inviting an Existing Staff Member

If a Staff Member is already in your system but hasn’t registered, you can send the Portal Access Invitation as long as they haven’t completed registration. You can also resend it while they’re in Invited status.

Go to Flyout Menu > Manage Staff.

In the Staff Member list, click the Options menu. If they haven’t been invited yet, select Send Invite.

If they’ve already been invited, select Resend Invite.


What Users Will Experience

When you send the Portal Access Invitation, the recipient gets an email with a link to join.

Clicking the link takes them to the Registration screen where they create their password.

After registration, they’re directed to the Dashboard by default. What they see depends on your configuration (such as setting a Start Page, assigning an On-Boarding FLOW, enabling Paid Portal Access, etc.).


Customizing the Portal Access Invitation Email

You can personalize the language and formatting of the Portal Access Invitation Email separately for Contacts and Staff Members. Additionally, each Kickoff Form can have its own unique Portal Access Invitation email, allowing you to tailor messages based on which form your Contacts submit.

Go to Flyout Menu > Email Templates to modify the DEFAULT Portal Access Invitation. Note that individual Kickoff Forms can have their own email templates. When a Kickoff Form is created, it inherits the DEFAULT template from Flyout Menu > Email Templates, but you can customize it independently afterward.
