STAFF: Onboarding and Managing your Staff
Learn how to add, configure, and manage team members in your Unificus portal.
Onboarding New Staff Members
Your Staff section manages your employees and business partners. The roles you assign determine what access and permissions each person receives.
Adding a Staff Member
Start by going to Flyout Menu > Manage Staff.
Click the +Add Staff Member button to begin the process.
Staff Member Form Fields
Role Assignment
Assign a role from these options: Admin, Project Manager, Office Manager, Teammate, Salesperson, or Freelancer. Your choice controls their portal permissions.

Portal Access Invitation
The invitation email contains an activation link so your staff member can set up their account and password. If you delay sending it, their account stays inactive.
Team Selection
Pick which team(s) this person should join.
Staff Details
Profile Picture: Upload a photo or avatar (optional). Without one, the system displays their initials. They can change this later in their profile settings.
Email: Enter their email address—this is their login credential and where notifications go.
Name Fields: First name is required; middle and last names are optional.
Display Name: This appears in menus and in dynamic placeholders throughout the platform.
Phone: Their contact phone number.
Time Zone: Set their time zone, which they can adjust during registration if needed.
Hourly Rate: If set, this amount auto-fills when they create project timers. You can mark it private so they don’t see it—useful when client billing differs from their hourly cost.
Email Marketing
Add staff members to email audiences for marketing campaigns and automated sequences.
Folder Generator
Apply a folder generator to automatically create files and folders when they first access their portal. This is great for sharing company procedures.

Checklists
Assign existing checklists to guide onboarding workflows.
Onboarding FLOW
Set up an onboarding flow that activates when they log in for the first time.
LMS Products
Add learning courses or training modules to their portal—either general ones or staff-specific programs.

Any custom fields you’ve created appear here. Required fields are marked with a star.

Managing Existing Staff Members
In Flyout Menu > Manage Staff, click the three-dot menu next to any staff member.
Edit: Update their account information.
Impersonate: View the platform from their perspective.

Copy Integration UID: Retrieve their integration ID.
Copy Custom UID: Get their unique profile link.
Profile Page Links: Access links to any profile pages you’ve created for them.
Send Message: Compose a secure message—they’re automatically set as the recipient.

Apply Auto-Template: Use existing staff templates to update their settings.
Change Password: Reset their password if they’re having login issues.
Assign On-Demand FLOW: Add special workflows after their profile is created.
Apply Folder Generator: Add folder structures to their account.
Set Inactive: Revoke their access and remove them from assigned projects.
Deactivating or Removing Staff
Go to Flyout Menu > Manage Staff > Inactive Staff tab.
Set Active moves them back to the main staff list. Delete permanently removes them from Unificus.
Important: Deletion is irreversible. If you remove someone, you’ll need to create a new profile to re-add them.
