PROJECTS: Task Proofing & Approval

Enable clients to review and approve or reject deliverables with feedback in Unificus.

What is Task Approval?

Sometimes you need client sign-off on status updates, creative assets, documents, samples, and similar materials. Task Approval empowers your clients to review these items and respond with an Approve or Reject decision, complete with their rationale if needed.

How do I set up Task Approval?

Task Approval operates through the Project Management tool. You’ll need to create and assign a Task to your client—and you should already have an active Project with the client involved. If not, start by creating one.

You can activate Task Approval on new or existing Tasks. Go to Projects > My Tasks or Projects > All Tasks. Choose “Add Task” for a new one, or select “Edit” from the Options menu on an existing Task.

Pick your Client from the “Assigned To” dropdown. Once selected, additional configuration options will appear.

Enable the Client Approval checkbox—this will automatically lock the second option, preventing edits or reassignments. Then click Task Approval Settings to access more controls.

Here you’ll choose which Staff Member(s) or Team(s) get notified when the client approves or rejects. By default, alerts go to the client’s Coordinator and whoever created the Task.

What does the Client see?

Once you assign an Approval Task to the client, they’ll get an email alert. The Task will appear in their task list within the associated Project and their My Tasks tab, marked with Approval Pending status.

How does the Client Approve or Reject?

When they open the Task, they can choose between Approve or Reject & Give Feedback.

What happens when the Client makes a choice?

Upon submission, the client’s Coordinator, Task Assigner, and any staff or teams you specified in Task Approval Settings receive an email.

If they select Approve, the Task updates to Approved status. If they select Reject & Give Feedback, a text box lets them enter their comments before confirming.
