Converting Work Requests

Transform submitted work requests into invoices, estimates, or projects in Unificus.

What is a Converted Work Request?

Clients use Work Requests to ask for work. Once they submit one, you can quickly transform that information into an Invoice, Estimate, or Project.

Your Work Request configuration determines how conversions work.

How do I convert a Work Request?

Go to Projects > Work Requests.

Find the Work Request you want to convert. Click its Options menu and select Convert.

A dialog box appears where you’ll choose your conversion type: a fresh or existing Invoice, Estimate, or Project.

Converting a Work Request into a Project

Two things shape your Project’s structure: whether the Work Request contains Items, and whether you’re creating a new or existing Project.

Learn about Projects

TIP: The person converting the Work Request automatically receives task assignments.

Creating a New Project

When building a new Project from your Work Request, you may select a Task Template to add pre-built Tasks and Phases alongside any Tasks generated from the Work Request.

Learn about Task Templates

The fresh Project takes the Work Request’s name as its title. Its description comes from the Client’s Summary Description field. The converter becomes the Project Leader.

If your Work Request includes Items (enabled by default, but optional), they transform into Tasks. Task names and descriptions mirror the Item names and descriptions.

IMPORTANT: No Items means no Tasks will be created, unless you choose a Task Template during the conversion.

Adding to an Existing Project

With an existing Project, you select it from a dropdown—only Projects linked to that Client appear.

The original Project title and description remain unchanged.

Work Request Items (enabled by default, but optional) become Tasks with matching names and descriptions.

Without Items, the entire Work Request becomes a single Task using the Work Request’s title and Summary Description.

IMPORTANT: Newly created Tasks won’t have Due Dates assigned.

Converting a Work Request into an Invoice

Your Invoice’s structure depends on two factors: whether the Work Request has Items, and whether you’re making a new or existing Invoice.

Learn about Invoices

Creating a New Invoice

A new Invoice starts in Draft status. It uses the Work Request title and places the Client’s Summary Description in Internal Notes. The Due Date defaults to the Work Request’s Requested Due Date.

Work Request Items (enabled by default, but optional) convert to taxable Invoice Items with matching names and descriptions.

Either way, you can include more Items and adjust details before marking the Invoice as Open.

Adding to an Existing Invoice

Choose an existing Invoice from the dropdown—only Invoices assigned to that Client are available.

The original Invoice title, description, and due date stay the same.

Work Request Items (enabled by default, but optional) convert to taxable Invoice Items preserving their names and descriptions.

Without Items, the Work Request becomes a taxable Invoice Item using the Work Request’s title and Summary Description. Its default value is 0.

TIP: The Invoice keeps its original status (Draft or Open). You may add more Items and make changes as needed.

Converting a Work Request into an Estimate

Two factors determine your Estimate’s structure: whether the Work Request has Items, and whether you’re creating a new or existing Estimate.

Learn about Estimates

Creating a New Estimate

A new Estimate launches in Draft status using the Work Request title. The Client’s Summary Description goes into the Internal Notes field. The Due Date defaults to the Work Request’s Requested Due Date.

Work Request Items (enabled by default, but optional) convert to taxable Invoice Items with matching names and descriptions.

Either way, you may add more Items and modify details before marking the Estimate as Open.

Adding to an Existing Estimate

Pick an existing Estimate from the dropdown—only Estimates linked to that Client display as options.

The original Estimate title, description, and due date remain unchanged.

Work Request Items (enabled by default, but optional) convert to taxable Invoice Items preserving their names and descriptions.

Without Items, the Work Request becomes a taxable Invoice Item using the Work Request’s subject line and Summary Description. Its default value is 0.

IMPORTANT: You can only choose Estimates with Draft status.
