FILES: File Transfer

Send files securely with password protection, download limits, and expiration dates.

What is File Transfer?

File Transfer lets you distribute files to others through a secure download link. You can add protections like passwords, limit how many times the files can be downloaded, and set when the link expires.

Since recipients access files outside the platform, they don’t need a Unificus account. This works great for sharing large or confidential materials with clients or partners.

Files are organized into Packages, which group one or more documents, images, videos, or other content together.

These transfers can be created by Super Admin, Admin, Project Manager, and Office Manager roles.


How do I Transfer Files?

Go to the Files menu.

Select the Transfer Files button at the top.

You’ll need to build a Package first using a guided workflow. While it’s being set up, you can move between sections using the tabs at the top. Click Cancel in the bottom left if you need to exit.

Select Create New Package.

Package Title: Give your Package a name that recipients will see.

Select Users: Pick from registered contacts or staff members, or type in an external email address.

Choose from existing files already on the platform. Check the boxes next to the files you want to add. Browse through folders by clicking them. Use the Search Files field to find specific documents.

Recipients receive a unique 6-digit code to open their Package. Add security layers with these options:

By default, Packages stay available forever. You can restrict how many times each recipient can download, or set a validity period in days. After these limits are reached, the Package shows an expiration message.

You can also password-protect the Package and combine these protections.

To alert specific Staff Members or Teams when someone downloads the Package, select them from the Select Users dropdown.

Edit the message using the WYSIWYG editor, or keep the default. Customize default message text in Email Templates.

IMPORTANT: Include the {{fileDeliveryLink}} and {{sixCode}} placeholders in your message—these generate the download link and ID Code.

I prefer to send the link myself: Choose this to skip automatic sending. You’ll get the link on the next page instead.

Select a recipient from the dropdown to see two link options. (This only appears if you’re handling the send manually.)

Transfer Option #1 is a personalized link for that recipient without needing an ID Code.

Transfer Option #2 is a generic link for anyone and requires the displayed ID Code to access.


What does the recipient see?

Recipients get an email with the download link and a 6-digit ID Code to open the Package.

Clicking the link takes them to a page showing your logo with a prompt for the code.

They can type the code or copy and paste it into the first field, which auto-fills the rest.

After entering the code (and password, if set), they reach the download page. A single file downloads directly; multiple files download as a ZIP. Once the link expires or download limits are reached, an expiration message appears.


How do I manage File Transfer Packages?

In your Files section, find a folder called File Transfers. Open it to see all your active transfers.

You can quickly check when each Package was sent, how many files it contains, and when it expires.

You also see page views and download counts.

Click a Package name to view its contents and download them.

For additional actions, click the dropdown menu (chevron-square-down).

Download: Save the Package to your computer.

Resend Email: Send the download notification again and edit the message.

Share Options: Copy the direct Package link. These match the options from manual sending.

Delete: Remove the Package from Unificus. Recipients lose access, and files inside are deleted.


How do I change the URL for the File Transfer page?

The default Friendly URL keyword is home.

To change it, open Files.

Click the icon in the top right corner.

At the bottom of the panel, update your Friendly URL for the download page your users visit.
