Set up an approval workflow using Kickoff Forms to control when contacts gain portal access.

Setting up an Approval Process for Prospects and Clients

The recommended approach is to leverage a Kickoff Form for managing approvals.

Creating Your Kickoff Form

Start by heading to the Forms section and selecting +Create Form.

From there, you’ll have the option to select Kickoff Forms. You can also use the icon next to the +Create Form button to access the dropdown list.

Disabling Immediate Portal Access

Turn off the Send Portal Access Invitation Immediately option. This places your new Contact in a Not Invited state.

With this setting, the Prospect or Client is added to your Unificus account but receives no notification and cannot access the Portal. While marked as Not Invited, they won’t receive any communications until you manually grant them access.

Approving and Inviting Contacts

Once you’re prepared to approve a Contact, you can send them the Portal Access Invitation.

Sending the Invite

  1. Go to CRM > Contacts.
  1. Find the Contact you want to invite and click the Options button (three dots) next to their name.
  1. Select Send Invite from the menu.
