Block or limit appointment availability in Unificus using time windows and auto-blocking features.

Blocking Availability for Appointments

What is the Block Availability feature?

When you’re assigned an Appointment Generator, your weekly Availability settings apply consistently each week. However, you may occasionally need to create exceptions to your standard schedule. The Block Availability feature lets you do exactly that.

How do I block availability for my Appointment Generator?

Begin by opening any Calendar-related page, such as My Calendar or Appointment Generator. You’ll find the Block Availability tab there.

Select the Block Availability tab to expand the sidebar.

Use the Window options to specify times when you’re unavailable. You can customize the label by entering text in the Window Group field.

Once you’ve selected your unavailable Window(s) and labeled them, choose which Appointment Generator(s) should be blocked during those Window(s).

How can I block multiple Windows?

To block several time periods in the future, simply create additional Window Groups and configure each one to your needs.

Limiting Availability for Appointments

What is the Limit Availability feature?

Your weekly Availability settings for an Appointment Generator remain consistent week to week. But if you’re experiencing lighter demand or just getting started and want your calendar to appear fuller, the Limit Availability feature helps you manage this.

You can set a percentage of your available time to appear busy and use Auto-Block Availability to prevent scheduling conflicts.

How do I limit availability for my Appointment Generator?

Start by navigating to Calendar > Appointment Generator > Options > Limit Availability.

Specify what percentage of available slots you’d like to show as busy. Unificus will randomly hide that percentage of open time slots for this Appointment Generator.

You can also enable automatic blocking for specific scenarios:

Based on Google Calendar Events: Turn this on to prevent scheduling conflicts with events in your connected Google Calendar. Unificus won’t display available slots when they overlap with your Google Calendar events.

Based on CRM Follow-Ups with the same Assignee: Enable this to avoid scheduling conflicts with Follow-Ups created in Unificus. Time slots won’t display during Follow-Up windows assigned to the same staff member as this Appointment Generator.

Based on other Appointments with the same Assignee: Activate this option to prevent double-booking. Available slots won’t appear during times when other Appointments are already scheduled for the same staff member.
