Automations: Schedules

Set up and manage automated workflows triggered by specific dates using Unificus Schedules.

What are Schedules?

Schedules let you build Automation sets that trigger based on a “Based-On Date” (BoD), giving you control over when and in what order your automated actions occur. You can anchor the BoD to when a Target joins the Schedule, a specific calendar date, or a value stored in a custom field.

To begin, select + Add New Schedule and decide which Schedule type suits your needs.

Direct Schedules: Set up automations around a fixed date or custom field value.

Dynamic Schedules: Trigger automations relative to scheduled events, such as an appointment date.


Direct Schedules

First, pick whether you’re creating a schedule for CRM Targets or Staff Targets.

Next, select your Based-On Date option.

Enter a Schedule Name.

Select Manage CRM Targets and then Automations.

Configure your Automation settings and click Configure Automations.

Finish by clicking Create. Repeat these steps to add more automated actions.


Adding Contacts or Companies to a Schedule

You can either bring in Contacts and Companies through import, or add them via Automations. To import, go to Manage CRM Targets and select your import method.

The system displays all Contacts and Companies with Prospect and Client roles.

Check the boxes for each Contact or Company you’d like to add.

Open the Make a Selection menu, then click Import Selected to add your chosen items. You can also choose Import All to include everything at once.


Adding Staff Members to a Schedule

Open your Schedule and select Import Staff from the dropdown.

You’ll see a list of all Staff Members.

Select the checkboxes next to each Staff Member you want to add.

Click Import Staff to add your selections. You can alternatively select Import All to include every Staff Member.

Important: If you need to run a Schedule multiple times for the same Target, first remove the Target from the Schedule, then add it back. This is crucial when sending scheduled emails—the system tracks sent emails, and it won’t resend unless you reset it.


Exporting Schedule Targets

Once you’ve built your Schedules, you can download a list of the Staff or Contacts/Companies enrolled in them.

Open the Schedule you want to export and click either Export all Staff or Export Contacts to download the target list.


Dynamic Schedules

Enter a Schedule Name and pick your Target Type—either CRM Target or Staff Target.

Note: The Based-On Date and Time Zone are set automatically and cannot be changed.

Click on your Schedule Name to set up Automations.

Select Automations, then click the +Automations button to begin adding automated workflows.

Decide whether each automation should trigger before or after the Dynamic Date, then click Configure Automations to finalize your settings and click Create.

Your first automation is now live. Use the +Automation button to layer in additional automations or dates.
