Assign contacts to on-demand FLOWs and monitor user progress through submissions and step completion.
Managing FLOW Assignments
With On-Demand FLOWs, you have the ability to control which Contacts are currently assigned to them.
Note: This feature applies only to On-Demand FLOWs. For On-Boarding FLOWs, you can remove the entire FLOW to automatically un-assign all associated Contacts.
- Go to Onboarding > FLOWs from the main menu.
- Click the Options button next to your On-Demand FLOW and choose Manage Assignments.
Manage Assignments lets you add or remove Contacts from the FLOW. (Available for On-Demand FLOWs only.)

Pick a Contact using the dropdown menu to add them to the On-Demand FLOW. All Contacts currently assigned to the FLOW appear below.

To remove a Contact, click the icon beside their name. Use the search field to quickly find assigned Contacts by name.
Managing FLOW Submissions
Once a FLOW has been assigned to a user, you can track their advancement and handle any submissions.

- Navigate to Onboarding > FLOWs in the main menu to view assigned users and their progress.
- Select the Options button and click Status / Submissions.
You’ll see a list of users with the FLOW, including when it was assigned, the most recent activity date, and their current Step.
- Click Options for the user you want to review, then select View Progress.
Their completion status for each Step appears here. Click any Step name to view its content.
For Read & eSign Steps: Click the Step to view the document and signature. Use the buttons below to Print or Download the signed document and its content.
You can also access the signed document and Audit Trail through Office > Documents.
For File Upload Steps: Click the icons next to the file details to download or preview the uploaded file.
For Form Steps: View all submitted responses to each question.
For Checklist Steps: Click the View Progress button to see checklist advancement.
A green checkmark appears next to each completed Checklist Item.
If a step has ‘Allow this FLOW step to be skipped’ enabled, users can bypass it. Skipped steps won’t show a green checkmark.
While a user is actively working on a FLOW or Checklist Step, incomplete items won’t display a green checkmark.
